Executive Assistant (Part-Time) – Cease Fire Productions
Location: Primarily remote but requires occasional in-person support | Hours: Daytime Availability Required (5 – 10 hours per week)

We are seeking a committed and proactive Executive Assistant to work directly with our CEO, ensuring seamless coordination of schedules, communications, and operations. What You’ll Do

Calendar & Email Management
– Oversee complex scheduling, coordinate meetings and travel, and ensure all key commitments are met.
- Administrative Support – Manage company files, documents, and essential records, ensuring all details are meticulously organized.
- Event Coordination Assistance – Support Cease Fire Productions during promotional events by scheduling consultations, providing follow-up communication, and ensuring smooth execution.
- Data Management – Enter and update client and vendor information in our CRM, track key company metrics, and maintain accurate records.
- Meeting Preparation – Create and update agendas, record meeting discussions, and ensure follow-ups are executed.
- General Operations Support – Assist with invoices, insurance documents, supply orders, and additional tasks that contribute to efficient event execution.
- Client & Vendor Communication – Act as a liaison between clients, vendors, and team members, handling inquiries with professionalism and efficiency.
- Support the Sales Process – Assist with scheduling consultations for prospective clients, ensuring timely follow-ups, and tracking inquiries. Prepare and send client agreements, invoices, and required documents, ensuring a seamless booking experience.

- Is tech-savvy, comfortable with Google Apps, email management, Apple OS, and CRM tools.
Requirements
- High school diploma or equivalent
- Previous experience in administrative or customer service roles (preferred but not required)
- Must have availability to work during the day
Bonus Skills (Nice to Have, but Not Required)
- Experience in the event industry.
- Availability to support promotional events (Meet & Greets, Engagement Parties, etc.)
- Passion for special events and hospitality
